Run Report - Reservation

Reservation reports allow you to view and print reports about the reservations made at your installation.

Your security rights determine whether you can run reservation reports and which properties you can run the reports on. If you do not have the required security rights, contact your system administrator.

To run Reservation reports:

  1. Access the Reservation module by clicking the Reservation link at the top of the page.

  2. Select the Run Report tab.

    Currently, the Reservation Details report is the only reservation report available.

  3. Specify report criteria.

  4. Click OK to run the report.

Reservation Details Report

The Reservation Details report provides a summary of reservations that have been made, including the date, property, resources needed and costs.

Report Criteria

To refine your results, specify any of the following criteria. If no criteria are specified, the report will be run for all values.

  • Property – Click the Select link to run the report for a particular property.
  • Region – Select a value to run the report for a particular region. If a property is selected, the Region drop-down menu is replaced by the Space/Floor drop-down menu.
  • Space/Floor – If a property is selected, the Region field is replaced by the Space/Floor field. Select a value to run the report for a particular space or floor.
  • Reservation ID – Enter a value to run the report for the single reservation with the specified reservation ID.
  • Reservation Status – Select a value to run the report for reservations that are in a specific status (for example, Open, Pending, or Cancelled).
  • Resource Type – Select a value to run the report for reservations that have a specific type of resource associated with them.
  • Requestor Company – Enter a value to run the report for reservations that were requested by a person at a company whose name contains the specified characters. This criterion is not case-sensitive but will only return requests that contain the entire word or phrase entered.
  • Requestor's Last Name – Enter a value to run the report for reservations that were requested by a person whose last name contains the specified characters. This criterion is not case-sensitive but will only return requests that contain the entire word or phrase entered.
  • Reservation Date – Enter two date values to run the report for all reservations created during the specified date range.

Report Output

The generated report contains one row for each request. The results include:

  • Reservation ID – the unique reservation ID that was assigned when the reservation was created
  • Reservation Description – a description of the type of reservation
  • Reservation Date – the date and time on which the reservation occurs
  • Status – the status of the reservation (for example, Open, Approved, Declined)
  • Duration – the length of the reservation, in minutes
  • Property – the property where the reservation occurs
  • Space – the space within the property where the reservation occurs
  • Requested By – the name of the user who requested the reservation
  • Requestor Company – the name of the company at which the user requesting the reservation works
  • Resource – the resource requested as part of the reservation
  • Primary Resource – Y if the listed resource is the primary resource
  • Total Charges – the total amount of any charges associated with the reservation
  • # of Attendees – the number of people that will be in attendance for this reservation
